This policy explains what personal data Pivett collects, why, who we share it with, how long we keep it and the rights you have. It applies to this website, our recruitment services and the emails we send.
1.Who we are
This website and our recruitment services are run by Pivett Consulting Services Private Limited (“Pivett”, “we”, “us”), a staffing and recruitment company based in Patna, Bihar, India.
We decide why and how the personal data described here is used, so under India’s Digital Personal Data Protection Act, 2023 we are the Data Fiduciary (and, where the EU or UK GDPR applies, the controller).
Questions about this policy or your data: info@pivett.com or +91 70503 91428.
2.What we collect
We only collect what we need to match people with jobs and to run our business.
When you apply for a job or join our talent network
- Your name, email address and phone number
- Your resume or CV, and any portfolio or profile link you share
- Details you give us about your work: role and skills, experience, current city, work preference, notice period and expected salary
- Anything you write to us in a message or cover note
Later, as we work with you, we may add notes from our calls and the results of any skills test or reference check you agree to.
When you ask us to help you hire
- Your name, company, work email address and phone number
- The roles you need to fill, your timeline and anything else you tell us about the hire
When you contact us
Your name, email address, phone number and your message, and any emails you send us.
When we contact businesses about hiring
To offer our services, we look at information businesses publish themselves, such as open roles on their careers pages and public job boards. Where we email someone about it, we keep their name, work email address, company, job title and where we found the information. Every email we send has a working unsubscribe link, and once you unsubscribe we stop contacting you.
What your browser sends automatically
Like any website, our servers receive technical details with each visit: your IP address, browser type, the pages you ask for and the time. Our hosting provider keeps these in short-lived server logs for security. Our forms also time how long they take to fill in, to block spam. We do not use analytics or advertising trackers; see our Cookie Policy.
The free resume builder
The resume builder works entirely in your browser. What you type is saved on your own device so you don’t lose it, and is never sent to us unless you choose to upload the finished resume in an application.
Please don’t send us sensitive details we haven’t asked for, such as health, religion, caste or identity-card numbers.
3.How we use it
- To find you work: to review your profile, contact you about roles that fit, screen and test you for them, and, with your agreement, put you forward to employers.
- To help clients hire: to understand the roles they need, send them shortlists and manage the hiring through to joining.
- To answer you: to reply to messages and enquiries.
- To offer our services to businesses: to contact companies that are hiring, and to respect unsubscribe requests.
- To keep the website safe: to block spam and abuse and to fix problems.
- To meet the law: to keep records we are required to keep and to respond to lawful requests.
We do not sell your personal data, and we do not use it for advertising or to make decisions about you by automated means alone. A person at Pivett always reviews candidates.
4.Our legal basis
Under Indian law, we rely on your consent, which you give when you submit a form or send us your details for a purpose you can see, and on the legitimate uses the law allows, such as when you share information with us voluntarily for a stated purpose, or when we must keep it by law. You can withdraw your consent at any time (see your rights); this doesn’t affect what we did before.
Where the EU or UK GDPR applies, we rely on: your consent; steps you ask us to take before entering a contract (for example, putting you forward for a role or preparing a proposal for your company); our legitimate interests in running and promoting a recruitment business, balanced against your rights; and legal obligations.
6.Data outside India
Some of our service providers store or handle data on servers outside India, and when we work with clients abroad, a candidate’s profile goes to that client’s country, with the candidate’s agreement. We only transfer data where Indian law permits it. For transfers out of the EU or UK, we use the safeguards those laws require, such as standard contractual clauses.
7.How long we keep it
| Data | How long |
|---|---|
| Candidate profiles and resumes | Up to 3 years after we last hear from you, unless you ask us to delete them sooner |
| Client enquiries and hiring records | Up to 3 years after our last contact, or longer if a contract or the law needs it |
| Contact form messages | Up to 2 years |
| Business outreach contacts | Up to 2 years after our last email |
| Unsubscribe list | Kept, with just the email address, so we never contact you again |
| Server logs | A few weeks, as set by our hosting provider |
After that, we delete the data or make it anonymous.
8.How we protect it
Data travels over encrypted connections (HTTPS) and is kept with providers that encrypt it at rest. Resumes are stored privately, never at a public link. Only the Pivett team members who need the data can see it, and our admin area is protected by a password and a secure session. No system is perfectly secure, but if a breach ever affected your data, we would tell you and the authorities as the law requires.
9.Your rights
You can ask us to:
- tell you what personal data we hold about you, how we use it and who we’ve shared it with
- correct or complete it, or update it if it’s out of date
- delete it
- stop using it, by withdrawing your consent
- stop contacting you; every email we send has an unsubscribe link
- name someone to act on your behalf if you die or can’t act yourself (a right under Indian law)
If you are in the EU or UK, you can also object to how we use your data, ask us to restrict it, and ask for a copy in a format you can take elsewhere.
To use any of these rights, email info@pivett.com. We may need to confirm who you are first. We reply within 30 days, and there is no charge.
If you’re unhappy with our answer, you can complain to the Data Protection Board of India, or in the EU or UK, to your local data protection authority. We’d appreciate the chance to put it right first.
10.Grievance Officer
For any complaint about how we handle your personal data, contact our Grievance Officer. We will acknowledge your complaint within 48 hours and resolve it within 30 days.

12.Changes to this policy
We’ll update this page if what we do with data changes, and change the date at the top. If a change matters to how we use your data, we’ll tell you before it takes effect.
